Privacy Policy
Effective 21 August 2026
1. Introduction
Stonez Systems (“we”, “our”, or “us”) respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains what information we collect, why we collect it, how we use it, and the rights you have regarding your personal data when you visit our website or contact us.
By using our website, you acknowledge this Privacy Policy.
2. Who We Are
Stonez Systems is a UK-based software consultancy specialising in bespoke software development, AI automation, business systems and related technology services.
For any privacy-related enquiries you can contact us at:
Email: climb@stonezsystems.co.uk
3. Information We Collect
We only collect information that you voluntarily provide to us.
Depending on how you contact us, this may include:
- Your name and/or company name
- Your email address
- Your telephone number, including the country dialling code
- The type of work you are enquiring about
- Details about your project or enquiry
- A record of your consent to be contacted about your enquiry
- Any additional information you choose to include in your message
We do not intentionally collect special category personal data through our website.
4. How We Use Your Information
We use your information only for legitimate business purposes, including:
- Responding to enquiries
- Discussing potential projects
- Preparing quotations or proposals
- Providing requested services
- Communicating with existing clients
- Meeting our legal and contractual obligations
We do not sell your personal information.
We do not use your information for behavioural advertising or profiling.
5. Our Lawful Basis
Where UK data protection law applies, we process personal information under one or more of the following lawful bases:
- Your consent
- Taking steps prior to entering into a contract
- Performing a contract
- Our legitimate interests in operating and improving our business
- Compliance with legal obligations
6. Third-Party Service Providers
To operate our website and business we may use trusted third-party service providers.
These may include services for:
- Website hosting
- Business email
- Contact form delivery
- Website analytics and measurement
At the time of writing, website enquiries submitted through our contact forms are securely delivered using Resend before being forwarded to our business email.
Website usage measurement is provided by Google (Google Analytics and Google Tag Manager), and only operates where you have agreed to analytics cookies.
Where we invite a completed client to leave a review, that page embeds Trustpilot’s official Review Collector widget, so a review can be left without leaving our website. It is loaded only where you have agreed to analytics cookies; if you have not, we simply link you to Trustpilot instead.
We only use providers that we believe are appropriate for business use and take reasonable steps to protect personal information.
7. Data Retention
We keep personal information only for as long as reasonably necessary to:
- Respond to enquiries
- Deliver our services
- Maintain business records
- Comply with legal obligations
- Resolve disputes where necessary
When information is no longer required, we will securely delete or anonymise it where appropriate.
8. Data Security
We take reasonable technical and organisational measures to help protect personal information from unauthorised access, disclosure, alteration or destruction.
While no online service can guarantee absolute security, we continually aim to use reputable providers and appropriate security practices.
9. Cookies and Tracking
Our website is designed to respect your privacy.
At the time of writing:
- We use Google Analytics 4, loaded through Google Tag Manager, to measure how the website is used.
- Analytics cookies are only set if you agree to them. Until you choose, analytics and advertising storage are disabled and no non-essential cookies are placed.
- Where we invite a completed client to leave a review, that page embeds Trustpilot's Review Collector widget. Like analytics, it is only loaded if you agree — and if you do not, the page links out to Trustpilot instead, so you can still leave a review without accepting anything.
- We do not use advertising or remarketing tags on this website.
- We do not use behavioural profiling.
- We do not send your name, email address, telephone number or the contents of your enquiry to our analytics provider.
We do not load Google’s tag manager at all until you have agreed to analytics cookies. If you do not agree, or you have not yet chosen, nothing is requested from Google and nothing is placed on your device.
The same applies to Trustpilot. Their widget is not requested until you have agreed to analytics cookies, and it is used on our client review page only — no other page loads it. When it does load, it runs inside a frame served by Trustpilot, so anything it stores is set in Trustpilot’s own context rather than ours and is governed by their cookie policy, which is where the current names and durations are published.
The following is what we store on your device, and for how long:
| Name | Type | Purpose | Set when | Duration |
|---|---|---|---|---|
stonez.consent.v1 | Local storage (not a cookie) | Remembers your cookie choice so we do not ask again | As soon as you make a choice | Until you clear it or change your choice |
_ga | First-party cookie | Google Analytics — distinguishes one browser from another so visits can be counted | Only after you agree to analytics | Up to 2 years, though browsers shorten this in practice (Chrome limits it to 400 days) |
_ga_TCSBTZJC6T | First-party cookie | Google Analytics — maintains the session for our measurement property | Only after you agree to analytics | Up to 2 years, though browsers shorten this in practice (Chrome limits it to 400 days) |
widget.trustpilot.com | Third-party cookies and storage, set by Trustpilot | Loads Trustpilot’s Review Collector widget so a review can be left without leaving our site | Only after you agree to analytics cookies, and only on our client review page | Set and controlled by Trustpilot — see their cookie policy, linked above |
We remember your cookie choice in your browser’s local storage so we do not have to ask again. You can change or withdraw that choice at any time using Cookie Settings at the bottom of any page.
If this changes in the future, this Privacy Policy will be updated accordingly.
10. Your Rights
Depending on applicable law, you may have the right to:
- Request access to your personal information
- Request correction of inaccurate information
- Request deletion of your information
- Request restriction of processing
- Object to certain processing activities
- Request a copy of your personal information where applicable
- Withdraw consent where processing relies on consent
If you wish to exercise any of these rights, please contact us using the details provided in this policy.
11. Complaints
If you believe we have not handled your personal information appropriately, we encourage you to contact us first so we can try to resolve the issue.
You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO):
12. Third-Party Websites
Our website may contain links to external websites.

The latest version will always be published on our website.
